Step-by-step: download invoices from Google Workspace
- 1
Sign in to the Google Admin console with billing privileges
Go to admin.google.com and sign in as an administrator with the Billing management privilege. A regular Google Workspace user cannot see invoices. If your organization bought Workspace through a reseller, invoices come from the reseller instead, and if you signed up on Android or iOS, billing runs through Google Play or the Apple Settings app.
- 2
Open Billing, then Payment accounts
In the Admin console, go to Menu, then Billing, then Payment accounts (admin.google.com/ac/billing/accounts). Your subscriptions and their payment accounts are listed here.
- 3
Click View invoices next to the subscription
Next to your subscription, click View invoices. Google shows your two most recent invoices first; to find an older one, choose a date range at the top right of the list.
- 4
Download the PDF or CSV invoice
Under Documents, click the invoice number in the format you want. CSV Invoice downloads a spreadsheet you can import. PDF Invoice gives you Download or Regenerate invoice with updated information. Google notes that official PDF invoices can take up to a week to appear after the CSV version.
- 5
Regenerate with your VAT ID or PO number if needed
If your business address, purchase order number or VAT ID changed, click PDF Invoice, then Regenerate invoice with updated information. Regeneration updates account details only, not payments or credits, and is not available for accounts in India. For a payment receipt, open the payment link in the Description column of the same list to get a printable receipt.
About Google Workspace billing
Google Workspace invoices are in the Google Admin console. Go to Menu, then Billing, then Payment accounts, and click View invoices next to your subscription. Under Documents, click the invoice number for a PDF or CSV. You need the Billing management privilege. Google also emails a PDF invoice at the start of each month.
Most small businesses never open this page, because the invoice email arrives on its own. They open it the day the accountant asks for a VAT ID on the invoice, or the year a different admin's inbox has been getting the emails.
Check who receives the monthly invoice email. Google sends billing messages to the payments contacts on the billing account, and the primary contact is often whoever set up Workspace. Add your accounts payable address as a payments contact so the PDFs land where your books are kept.
About Google Workspace billing
Google Workspace is Google's business suite (Gmail on your domain, Drive, Meet, Calendar and the rest), billed per user under Flexible (monthly, usage-based) or Annual (commitment) plans. Billing is managed in the Admin console under Billing, and each month Google issues an invoice for the previous month's activity, emailed as a PDF and available as PDF or CSV under View invoices. Customers who buy through a reseller are billed by that reseller, and invoiced billing accounts pay by check or wire against an emailed invoice, typically on net 30 terms.
Manual vs automated
| Manual | Automated with Inbox Ledger |
|---|---|
| Sign in to admin.google.com with billing privileges | Google emails the PDF invoice each month |
| Open Billing, then Payment accounts | Inbox Ledger finds it in the connected inbox |
| Click View invoices | AI extracts the totals and tax |
| Pick the date range | Matched to the card or bank charge |
| Download each PDF | Pushed to QuickBooks Online or Xero as a bill |
| Print payment receipts separately | |
| Forward everything to your accountant |
Why people stop doing this by hand
Google Workspace is one invoice a month, which sounds trivial. In practice it sits next to Microsoft 365, Google Ads, Google Cloud and a dozen other SaaS bills, each arriving in someone's inbox and each needing the same three steps: save, book, match to the charge. For an agency that also rebills Workspace seats to clients, every month adds a small allocation job on top.
Inbox Ledger connects to Gmail, Outlook or IMAP with read-only access, finds invoices and receipts, extracts the data with AI, matches them to bank statement transactions, and pushes bills to QuickBooks Online or Xero. Because Google emails the Workspace PDF every month, connecting the inbox that receives it is enough, and a retroactive scan picks up past months.
Next step
One Workspace subscription and an accountant who gets the email: you are set. Several subscriptions, an agency rebilling seats, or a year of SaaS invoices to clean up: connect the inbox and see what turns up with the free Inbox Audit. Quick access
Jump straight to the Google Workspace billing page in a new tab.
Open Google Workspace billingWhere to look in the dashboard
- Admin console → Billing → Payment accounts → View invoices for invoices, transactions and receipts
- Admin console → Billing → Payment accounts → More → View payment settings → Payments contacts for billing email
- PDF Invoice → Regenerate invoice with updated information for address, PO or VAT ID changes
- Reseller customers get invoices from their Google Workspace reseller, not the Admin console
Before you start — quick checklist
- The invoice is downloaded by a user with the Billing management privilege
- Your legal business name, address and VAT ID are on the PDF, regenerated if they changed
- Flexible plan usage and Annual plan commitments both appear for the month
- Payment receipts are saved separately if your accountant needs proof of payment
- Domain registration charges are captured if you buy domains through Google
- Billing emails go to a verified payments contact your finance team reads
Pro tips
- Google emails a PDF of the invoice at the start of each month for the previous month's activity. Make sure the billing email is a verified payments contact that finance reads, under Billing, Payment accounts, More, View payment settings, Payments contacts.
- The invoice is for information only; on automatic payments it usually does not show your payment. For proof of payment, open the transaction's payment link on the View invoices page and print the receipt.
- The CSV invoice arrives before the official PDF, sometimes by up to a week. Close the month on the PDF, not the CSV.
- If you are deleting your organization's Google account, Google advises printing payment receipts and monthly invoices first. Once the account is gone, so is the billing history.
- Invoiced billing accounts (paid by check or wire rather than automatically) get an emailed invoice at the start of each month, typically on net 30 terms, and a paper copy if you add a mailing address. Google does not reissue invoices already received when details change.
