Step-by-step: download invoices from Grainger
- 1
Sign in to Grainger.com
Click Sign In at the top right of Grainger.com and enter your user ID and password. If you have never registered, use Register on the same screen, since invoice history and downloads are for registered users. For login trouble, Grainger's help line is 1-800-GRAINGER (1-800-472-4643).
- 2
Find the order under My Account, then Order History
Hover over My Account at the top right and click Order History. Filter or search for the order you need, then click Order Details. This route is best when you are looking for the invoice behind one specific purchase.
- 3
Open the invoice and download the PDF
On the Order Details page, click the invoice number. The invoice opens, and the download icon saves it as a PDF; the print icon prints it. Choose where to save the file and click Save.
- 4
Bulk-download invoices from the Invoicing screen
For a month of invoices at once, hover over My Account and click Invoicing. Filter by date, tick the checkbox next to each invoice you want, and click Download Selected. This is the screen to use at month end or when catching up a backlog.
About Grainger billing
You download a Grainger invoice from Grainger.com. For one order, go to My Account, then Order History, open Order Details and click the invoice number to view and download the PDF. For many at once, go to My Account, then Invoicing, filter by date, tick the invoices and click Download Selected.
Grainger is the industrial and maintenance supplier behind a lot of small facilities, trades and clinic budgets: safety gear, motors, filters, fasteners, cleaning supplies. The invoices are easy to get once you know the two screens. The hard part is the volume: many small orders, each with its own invoice, paid in batches.
Start month-end from the Invoicing screen, not Order History. Invoicing lets you filter by date, tick every invoice in the period and download them together, which is much faster than opening each order and much harder to get wrong.
About Grainger
W.W. Grainger is a distributor of maintenance, repair and operating (MRO) supplies, serving businesses through Grainger.com and its branches. Registered users find invoices in two places in My Account: Order History, which leads from an order to its invoice, and Invoicing, which lists invoices by date and downloads several at once.

Why people stop doing this by hand
MRO spend is many small invoices. A facility manager orders filters on Monday, a technician needs a part on Wednesday, someone restocks gloves on Friday, and by month end there is a stack of Grainger invoices nobody can tie to a single conversation. Paid in batches, those invoices are what your bookkeeper ends up untangling, especially if one was paid twice or a credit was never applied.
Inbox Ledger connects to Gmail, Outlook or IMAP with read-only access, finds invoices and receipts, extracts the data with AI, matches them to bank statement transactions, and pushes bills to QuickBooks Online or Xero. Grainger invoices that reach a connected inbox are captured as they arrive, a batch from Download Selected can be uploaded, and the same invoice captured twice is flagged as a duplicate.
Next step
A few Grainger orders a quarter: use Download Selected at month end. A facility, a trades business or a practice that orders weekly: route Grainger invoices to one inbox and connect it to Inbox Ledger, or upload each month's Download Selected batch. Our guide to preventing duplicate invoice payments explains the control that matters most with high-volume suppliers.
Where to look in the dashboard
- My Account → Order History → Order Details → invoice number opens a single invoice
- My Account → Invoicing filters invoices by date and offers Download Selected for bulk PDFs
- Order Details → print icon prints a single invoice
- 1-800-GRAINGER (1-800-472-4643) is the number Grainger gives for sign-in issues
Before you start — quick checklist
- The Grainger account number on each invoice matches the account your books use
- Every invoice dated in the period is downloaded, not only the ones you remember ordering
- Your PO number appears on the invoice where your approval process needs it
- Invoices for the month are pulled from the Invoicing screen by date, so none are skipped
- Each payment is matched to the invoice numbers it covered
- Downloaded PDFs are renamed and filed where your bookkeeper expects them
Pro tips
- Order History is organized by order; the Invoicing screen is organized by invoice and filters by date. For month-end, start from Invoicing so you work from the invoices themselves rather than from memory of what was ordered.
- Download Selected on the Invoicing screen is Grainger's bulk option. Tick a full month's invoices and download them in one pass instead of opening each order.
- Rename each downloaded PDF with the invoice number and date before you file it. Grainger invoices for small MRO orders look alike, and a clear file name is what stops the same invoice being booked twice.
- Keep the account number and invoice number together on every payment remittance. Industrial supply accounts often pay many small invoices in one ACH, and the references are what let the payment post correctly.
